Job Description

Rockstar is hiring a full-time Credentialing Virtual Assistant on behalf of a non-profit healthcare network handling delegated credentialing for private practice physical therapy, occupational therapy, and speech clinics.

This role is central to keeping provider credentialing on track across a large, growing network. The VA will manage re-credentialing cycles for entire clinics at once, tracking every provider’s timeline well ahead of the three-year deadline so nothing slips through. This also means staying on top of data entry in the credentialing database, and following up persistently with clinics until paperwork is returned and complete. No clinical background is needed. This is administrative credentialing work, not patient care.

The ideal candidate is someone who looks ahead instead of just reacting to what’s due today, catches errors before they become client friction, and doesn’t need to be reminded to follow up.

About the Client

This organization is a non-profit network built by a group of physical therapists who came together to contract with managed care organizations. Today, they provide contracting, delegated credentialing, advocacy, lobbying, and problem-solving support to the private practices they serve.

The network spans over 100 practices and hundreds of locations, representing roughly 2,000 providers across physical therapy, occupational therapy, speech-language pathology, social work, counseling, and behavioral health. They are recognized by state government and national physical therapy associations as a driving force in healthcare, and they’re currently rebuilding their credentialing team after a recent staff departure, making this a high-impact role from day one.

Key Responsibilities

  • Manage re-credentialing for approximately 4 practices per month, with practice sizes ranging from 1 to 100+ employees
  • Track re-credentialing deadlines proactively, initiating the process well ahead of the three-year renewal cycle rather than waiting until it’s due
  • Run required verifications for each credentialing cycle, including NPI verification, license verification, OIG, SAM, OFAC, state DHS exclusions, Medicare opt-out, and preclusion list checks
  • Enter and maintain accurate data in Modio Health
  • Complete provider rosters bimonthly and submit to insurance contracts
  • Send credentialing and re-credentialing notification letters to clinics
  • Follow up persistently with clinics until credentialing packets are returned and complete
  • Maintain credentialing committee minutes
  • Assist with credentialing new practices as they join the network
  • Support day-to-day problem solving related to credentialing workflows

Requirements

  • Prior experience in medical credentialing or re-credentialing strongly preferred
  • Comfortable running compliance verifications (NPI, OIG, SAM, OFAC, exclusion lists)
  • Highly organized with the ability to manage multiple practice timelines simultaneously
  • Persistent and proactive in following up with external contacts without being prompted
  • Comfortable with outbound calls to clinics
  • Clear, professional English communication
