About the Client

We’re looking for a highly organized, customer-focused Sales Administrator to support our Singapore sales team from the Philippines. This is a critical operational role responsible for ensuring that every lead is followed up, every customer receives timely communication, and our CRM remains accurate and actionable.
About the Role
The Sales Administrator is the operational backbone of the pre-sales team. This role combines customer service, CRM administration, sales operations and light technical administration. You will ensure that every qualified lead progresses smoothly through the sales pipeline, customer enquiries are responded to promptly, preliminary solar proposals are prepared, and the sales team never misses an opportunity due to poor follow-up or CRM hygiene. What you’ll do
- Serve as the first point of contact for inbound customer enquiries through the shared sales inbox, ensuring prompt, professional, and customer-focused responses.
- Respond to pre-sales enquiries using approved knowledge articles, FAQs, and response templates while guiding prospective customers through the lead qualification process.
- Escalate technical or commercial enquiries to the appropriate Solar Consultant and ensure a seamless customer handover.
- Prepare preliminary solar proposals by generating indicative system designs using the company’s Solar Calculator platform.
- Verify proposal details, synchronize proposal data into HubSpot, and ensure CRM automations are triggered correctly before proposals are shared with customers.
- Maintain excellent HubSpot CRM hygiene by ensuring customer records, contacts, companies, deals, and pipeline stages remain accurate and up to date.
- Monitor lead progression throughout the sales funnel, identify stalled or aging opportunities, and proactively flag leads requiring immediate follow-up.
- Support sales operations by maintaining pipeline discipline, monitoring deal ownership, and recommending process improvements to maximize conversion opportunities.
- Generate weekly sales pipeline reports, including lead aging, follow-up activities, pipeline bottlenecks, customer outcomes, and opportunities at risk.
- Collaborate closely with the Pre-Sales Qualification Team and Sales Consultants to ensure every qualified lead receives timely follow-up and no sales opportunity is overlooked.
- Contribute to delivering a seamless customer experience by maintaining high service standards, fast response times, and operational excellence across the pre-sales process.
What You Bring
- 3–5+ years of experience in Sales Administration, Sales Support, Customer Service, Customer Success, or a similar customer-facing operational role
- At least 2–3 years of hands-on experience using HubSpot CRM
- Strong understanding of HubSpot functionality, including:
- Contacts
- Companies
- Deals
- Sales Pipelines
- Lifecycle Stages
- Tasks
- Workflows and Automations
- Excellent written and verbal English communication skills
- Strong organizational, multitasking, and time management skills
- Exceptional attention to detail and commitment to data accuracy
- Ability to work independently while managing multiple priorities in a fast-paced environment
- Customer-first mindset with excellent problem-solving and coordination skills
Nice to Have
- Experience supporting sales teams in Singapore, Australia, the UK, the US, or other international markets
- Experience performing outbound customer follow-ups or lead nurturing activities
- Familiarity with shared inbox and customer communication platforms such as Chatwoot, JustCall, HubSpot Conversations, or similar tools
- Exposure to CRM reporting, sales analytics, or pipeline performance tracking
- Experience supporting consultative or B2C sales environments
- Experience within renewable energy, home services, SaaS, or technology-enabled businesses
