We are an established security service business seeking an Operations and Admin Support Specialist to join our team based in Victoria. This role will be responsible for providing support to the operations and guarding services team in identifying, engaging, communicating with clients, contractors, and security personnel while ensuring the smooth delivery of day-to-day operational activities.
A major focus of this role is collaborating cross-functionally to engage and support the Accounts, Administration, and Operations teams in Australia, as well as the local offshore team, to ensure efficient workflows and exceptional service delivery.
Core Responsibilities
- Managing multiple email inboxes for key departments (Accounts, Operations, and Business Manager).
- Answering incoming office calls, assisting with customer requests, and directing calls to the appropriate staff.
- Ability to execute tasks with urgency, prioritize effectively, and meet deadlines within agreed SLAs.
- Act as a coordinator between the accounts, operations team, and Managing Director.
- Demonstrate excellent verbal and written communication skills when interacting with staff, clients, and vendors. Handle both inbound and outbound customer calls.
- Maintain a high level of accuracy when handling data, documents, and financial information.
- High-level proficiency in Microsoft Office or Google Workspace, and database management systems.
- Respond promptly and professionally to incoming customer communications via email and phone.
- Accurately capture customer concerns and ensure timely updates are provided to the relevant teams.
- Maintain organized records and documentation for reporting and compliance purposes.
- Collaborate closely with internal departments to ensure customer accounts are prioritized appropriately.
- Work with internal stakeholders via phone, email, or chat to resolve issues and operational matters.
- Perform other duties as assigned by the client.
- Organize the onboarding and offboarding processes for new security guards using Guardhouse and BrightHR software.
- Manage staff contracts, company policies and procedures, employee handbooks, and induction documentation.
Job Requirements
- 2–4 years of experience in remote administrative or operations support.
- Proficient in spoken and written English.
- Excellent project management, communication, and organizational skills.
- Proficient in Microsoft Office Suite and Google Workspace.
- Bachelor’s degree preferred.
- Ability to communicate professionally and effectively with clients and other key stakeholders to build strong working relationships.
- Demonstrated ability to maintain a high standard of customer service for both clients and internal stakeholders.
- Self-driven with a proactive mindset, strong initiative, and a solutions-focused approach.
