Administrative Assistant (Support to PMO)

We’re looking for a sharp, dependable Administrative Assistant to become the backbone of our day-to-day operations. This is a full back-office role: you’ll keep documentation accurate and audit-ready, keep our systems organized, and keep the team moving by staying two steps ahead of what’s needed next. You’ll collaborate daily with our U.S.-based team, so a confident, communicative style matters as much as your attention to detail. What you’ll do
- Project & Inspection Documentation: Organize, file, and rename inspection reports and related project records to match required naming and formatting standards, keeping documentation clean and easy to retrieve.
- Full Back-Office Administrative Support: Provide broad administrative support across multiple areas at once — scheduling, data entry, correspondence, and general office operations — so nothing falls through the cracks.
- Systems & Records Management: Maintain and organize files and records in SharePoint and other project systems, keeping information current, accurate, and easy for the team to find.
- Reporting & Data Entry Support: Support data entry and reporting tasks in specialized project and lab systems, learning platform-specific tools as needed and keeping records thorough and precise.
- Prioritization & Multitasking: Manage multiple requests and deadlines at once, knowing what to tackle first and keeping everything on track without letting details slip.
- Proactive Follow-Up & Communication: Check in with the U.S. team regularly, ask clarifying questions when something’s unclear, and take the initiative to find useful work rather than waiting to be assigned.
What you’ll bring
- Solid experience in full back-office administrative support — comfortable owning multiple workstreams at once without feeling overwhelmed.
- Construction industry experience is a strong plus, though not required.
- Strong working knowledge of Microsoft Office (especially Excel) and Adobe.
- Willingness and ability to quickly learn specialized, less common systems and platforms as needed.
- A sharp eye for detail and thoroughness, especially when it comes to formatting and organizing documentation correctly.
- Excellent prioritization and multitasking skills, with the ability to manage competing demands calmly.
- A confident, outgoing communication style: comfortable speaking up, asking questions, and engaging daily with a U.S.-based team.
- A self-starter mindset: someone who looks for the next task rather than waiting to be told what to do.
- Immediate availability to start.
