As we continue to grow, we’re looking for a highly organized assistant who can keep client content moving and provide flexible administrative support to our small, remote team.
Position overview
The Social Media & Administrative Assistant is a detail-focused support role. The primary responsibility is scheduling and publishing social media content created by the Hello Social Co. team across multiple client accounts.
This person will also help with the everyday administrative work that keeps the agency organized. Assignments may shift from week to week depending on client needs and team priorities. The right person will be comfortable following established processes, switching between tasks and asking good questions when something is unclear.
This is not primarily a content creation, design or strategy role. Success looks like accurate work, dependable follow-through and fewer details falling through the cracks.
Responsibilities
Content scheduling and publishing
The primary function of this role is managing the scheduling and publishing process for client social media content. Depending on the client roster, this may include coordinating dozens of posts each week across multiple brands.
- Schedule and publish team-created content across multiple social media platforms.
- Format captions and upload the correct photos, graphics, videos, links and other assets.
- Manage multiple client publishing calendars and meet established deadlines.
- Make requested copy, formatting or scheduling revisions before publication.
- Complete a quality assurance check for every post, including account, date, time, caption, tags, links and creative assets.
- Confirm that scheduled content publishes correctly and flag or troubleshoot issues promptly.
- Maintain clear records of scheduled, revised, approved and published content.
- Assist with basic comment or message monitoring when specifically assigned.
Administrative and agency support
Administrative assignments will vary. They may be recurring responsibilities or one-time tasks that help a team member or client project move forward. Examples include:
- Organize Google Drive folders, client files and digital asset libraries.
- Update Airtable, spreadsheets, project trackers and other internal systems.
- Track approvals, revisions, deadlines and outstanding information.
- Prepare agendas, take meeting notes and document action items.
- Complete straightforward research, data entry or information-gathering tasks.
- Format documents, organize links or assets and prepare materials for team review.
- Help with inbox, calendar or project coordination when assigned.
- Support special projects and other reasonable administrative needs as they arise.
What we’re looking for
The strongest candidate will genuinely enjoy organization, routine follow-through and behind-the-scenes work. You do not need to be the person dreaming up every idea. You do need to be the person who can be trusted to handle the details.
You are someone who:
- Is exceptionally organized and comfortable managing a high volume of small tasks.
- Notices missing details, inconsistencies and mistakes before work goes live.
- Enjoys checklists, calendars, systems and repeatable processes.
- Can shift between recurring work and unexpected administrative requests.
- Follows instructions carefully while using good judgment when circumstances change.
- Communicates clearly, asks questions and keeps others updated.
- Is dependable, responsive and comfortable working independently on a remote team.
- Treats client information, account access and internal materials with care.
Experience with social media scheduling platforms, Meta Business Suite, Google Workspace and Airtable is helpful. Familiarity with Canva is a bonus, but design and video editing are not central responsibilities of this role.
How the role may evolve
This role begins as a part-time opportunity with approximately 15 hours of work per week expected at the onset at a rate of $23 per hour. The mix of scheduling and administrative work may change as Hello Social Co.’s client roster and internal needs evolve. Over time, this person may take ownership of additional systems or recurring support tasks based on their strengths and the needs of the agency. The role is intended to grow in responsibility without assuming that it must become a creative or strategy position. This is a fully remote role, however we do welcome the occasional opportunity to get together as a team IRL in Happy Valley, Pennsylvania.
