Executive Assistant / Social Media & Client Account Coordinator
Executive & Personal Assistance
- Manage calendar, appointments, reminders, and scheduling
- Keep track of important tasks and follow-ups
- Organize emails and flag items requiring attention
- Schedule calls with clients, crew, vendors, and partners
- Research vendors, locations, travel, equipment, services, etc.
- Help with travel planning and logistics
- Handle miscellaneous administrative and personal tasks
- Proactively remind the owner of things before they become urgent
Client & Account Management
- Serve as a friendly, professional point of contact for clients
- Follow up regarding schedules, assets, feedback, approvals, and deliverables
- Keep track of what each client is waiting for
- Coordinate meetings and production logistics
- Make sure client requests don’t get lost in texts, WhatsApp, or email
- Maintain excellent communication without requiring the owner to personally manage every interaction
- Escalate important creative, financial, or relationship decisions to the owner
Project & Production Coordination
- Track active video/photo projects from booking through delivery
- Coordinate between the owner, editors, videographers, photographers, and other contractors
- Track deadlines, revisions, footage, files, and final deliverables
- Make sure editors know what they’re working on and what is due next
- Follow up with team members when something is falling behind
- Help source and coordinate production crew when necessary
- Maintain organized project/task-management systems
- Provide the owner with a clear overview of what needs his attention
Social Media & Content Management
- Review the company’s existing library of finished projects, BTS footage, photography, case studies, and other assets
- Identify strong content opportunities instead of waiting to be told exactly what to post
- Build and maintain a content calendar
- Turn existing footage into reels, posts, carousels, stories, and other social content
- Write captions and develop hooks/content concepts
- Schedule and publish approved content
- Organize content assets so great work doesn’t sit unused on hard drives
- Research successful filmmakers, production companies, agencies, and creators for ideas and trends
- Track what content performs well and adjust accordingly
- Help build both the Dov Gurewicz Productions brand and Dov’s personal/director brand
What We’re Looking For
The ideal person is extremely organized, resourceful, communicative, comfortable with technology, and proactive.
You should be someone who sees:
“Client hasn’t responded with feedback.”
and thinks:
“I’ll follow up and update the project.”
Not someone who waits for Dov to notice the problem and tell you what to do.
Experience with some combination of executive assistance, project management, social media, client service, video production, marketing, or creative agencies is strongly preferred.
You do not need to be an expert in every area on day one. The right person can be trained. What’s much harder to teach is ownership, judgment, communication, reliability, and initiative.
Experience with tools such as Google Workspace, WhatsApp, Metricool/social scheduling platforms, Frame.io, Lightroom, Adobe/CapCut, task/project-management software, and AI tools is helpful.
