Title: Executive Bookkeeper & Administrative Virtual Assistant (PH-Based)
Full-Time | Remote | Supporting MSE Environmental TX, NV, AZ + BGLF Group

Role Summary
We are hiring a highly reliable, detail-oriented Bookkeeper & Administrative Assistant to process vendor payments, manage books, track cashflow, support payroll, and maintain organizational integrity across multiple business units. You’ll work directly with our CFO, project managers, and founder.

Responsibilities

  • Bookkeeping & Financial Management
  • Process vendor payments weekly via Melio
  • Track all 1099 subcontractor jobs (TX, NV, AZ)
  • Support payroll prep and reporting for CFO (Gina)
  • Maintain monthly logs of fixed operating expenses
  • Prepare and deliver:
    • P&L Statements
    • Balance Sheets
    • Cashflow Reports (for all entities)
    • Manage Accounts Payable & Receivable
    • Reconcile bank accounts and credit card transactions
  • Administrative & Operational Support
  • Prepare contracts, forms, and internal onboarding docs
  • Assist in job costing with Cami (invoices, project time tracking)
  • Organize and maintain Google Drive structure across:
  • MSE Environmental TX / NV / AZ
  • BGLF Group
  • Maintain central tracking dashboards for each company
  • Coordinate closely with Gina (CFO), Dustin (Texas Ops), and Cami (Costing)

Ideal Candidate Profile

  • Skill/Experience Required Preferred
  • QuickBooks Online (daily use)
  • Melio platform experience
  • Google Sheets / Excel (intermediate+)
  • P&L / Balance Sheet / Cashflow prep
  • Strong English (verbal & written)
  • Multi-entity or agency bookkeeping
  • Job costing, invoice reconciliation
  • Highly organized and process-driven
  • Strong with Financial Management
  • Trustworthy, Honest, Ethical
  • Willing to speak when issue arise
  • English C2

    Work Details
    Hours: 40 hours/week (full-time)
    Timezone: PH hours with 2–3 hours overlap with CST
    Location: Remote (Philippines-based only)
    Reports to: Gina Cohn (CFO), Erik Lundgaard (CEO)
    Tools: QuickBooks, Melio, Google Drive, Zoom, Slack
