Client Information
The Company is a licensed manufacturing and distribution business specializing in regulated consumer products. It produces and distributes private-label items, including pre-rolls, vape cartridges, and drink additives, for licensed retail partners. In addition to managing its own in-house brands, the company supports a growing network of retail stores and specialty lounges by providing high-quality products and reliable distribution services.
Job Description
• Manage and update product menus using ChatGPT and Canva, then distribute them via BCC email lists and HubSpot
• Maintain and update white label flyers with current offerings, specials, and new products
• Send marketing materials and product updates through HubSpot
• Receive and enter customer orders into the distribution software
• Build delivery route sheets based on customer locations across California
• Assist with sourcing consumables and packaging by tracking vendor quotes, timelines, and project progress
• Monitor stock levels and update inventory records and product menus accordingly
• Follow up with existing customers via calls or text messages to confirm interest and orders
• Track cash and bank payments and perform basic data entry in QuickBooks
• Maintain customer account logs, update account notes, and manage client check-in schedules
Must Haves
• At least 2–3 years of experience as an Executive Assistant or Administrative Assistant • Strong English communication skills, both written and verbal • Proficient in HubSpot or similar CRM platforms • Comfortable using ChatGPT and other AI tools for content and document creation • Strong organizational, time management, and project coordination skills • Experience with order management or inventory tracking systems
Nice to Haves
• Familiarity with Distro or similar industry-specific software (training provided) • Experience supporting U.S.-based clients in manufacturing, distribution, or wholesale industries • Background in client-facing administrative or account management roles • Experience using QuickBooks • Cannabis industry knowledge is not required; training will be provided • Willingness to learn new systems and processes through a structured handover with the outgoing assistant during the transition period
