We are looking for an exceptional Executive Assistant / Founder’s Associate to support the Founder of a fast-growing international executive search firm.

This is a high-trust, fast-paced role where you will act as the operational backbone for the Founder — protecting time, increasing focus, and ensuring nothing falls through the cracks.

You will work closely with the Founder across scheduling, communications, meeting preparation, and coordination across clients, candidates, and the internal team.

Key Responsibilities

Executive Support

  • Own and manage the Founder’s diary with intelligent scheduling and prioritisation
  • Triage inbox communications, flagging priorities and drafting responses
  • Prepare meeting packs, briefing notes, and agendas
  • Capture meeting notes, actions, and ensure follow-through

 

Coordination & Operations

  • Coordinate client meetings, candidate interviews, and internal sessions
  • Manage travel, logistics, and event arrangements
  • Support podcast and event administration (guest coordination, scheduling, confirmations)
  • Maintain CRM records and key contact data

 

Workflow & Organisation

  • Track deliverables and ensure deadlines are met
  • Improve coordination across the internal team
  • Anticipate issues and proactively resolve them
  • Handle confidential information with professionalism and discretion

Candidate Profile

  • 3+ years experience as an Executive Assistant supporting a senior executive or Founder
  • Exceptional organisational and time management skills
  • High attention to detail and ability to manage multiple priorities
  • High attention to detail and strong written communication
  • Professional, composed, and highly discreet
  • Strong technology skills (Google Workspace / Microsoft Office, CRM tools, collaboration platforms)
  • Comfortable working in a small, ambitious, high-accountability environment

Success in this role will be measured by:

  • The Founder’s week is structured and well prioritised
  • No missed follow-ups or dropped actions
  • Meetings are well prepared, purposeful, and efficient
  • Travel and events run smoothly
  • Internal coordination improves team effectiveness

 

Working Details

  • Location: Remote (Philippines)
  • Working Hours: 8:30am – 6:30pm UK time (flexibility required)
  • Start Date: June 2026
  • Employment Type: Permanent
