Position Overview We are seeking a proactive and technically skilled Automation Virtual Assistant to support business processes through automation, workflow optimization, and reliable virtual assistance. The Automation Virtual Assistant will collaborate with cross-functional teams to identify repetitive tasks, design and implement automation solutions using low-code/no-code tools and scripts, and maintain documentation and monitoring to ensure smooth, scalable operations. The role requires strong problem-solving skills, attention to detail, and the ability to manage multiple priorities in a remote or hybrid work environment.

Duties and Responsibilities: Karbon System Management & Workflow Coordination

  • Manage and maintain tasks, projects, and client records within Karbon
  • Create and update work items based on meeting outputs and team requirements
  • Monitor task progress and follow up on overdue items to ensure visibility across the team
  • Ensure all workflows are accurate, up to date, and aligned with internal processes

Meeting Support & AI-Driven Task Creation

  • Process meeting transcripts and generate summaries using AI tools (e.g. Claude Cowork)
  • Translate meeting outputs into actionable tasks and upload them into Karbon
  • Maintain consistency and accuracy in task creation and documentation
  • Continuously refine processes for faster and more efficient turnaround Inbox

Diary & Communication Coordination

  • Manage email triage, ensuring all communications are acknowledged and directed appropriately
  • Support calendar coordination, including scheduling, rescheduling, and follow-ups
  • Send confirmations, reminders, and rebooking links as required
  • Ensure communication flows smoothly between clients and internal team members Data

Management & System Updates

  • Maintain accurate records across platforms including SharePoint, CRM, and internal systems
  • Ensure all documents, client files, and data entries are properly filed and updated
  • Input and update lead and client data within required timeframes
  • Perform regular checks to ensure data integrity and consistency

Process Improvement & Automation Support

  • Identify inefficiencies in current workflows and suggest improvements
  • Support gradual implementation of automation using AI tools and integrations
  • Assist in creating SOPs and process documentation from existing workflows
  • Collaborate with the Practice Manager to enhance systems and reduce manual work overtime

Qualifications and Must Have:

  • Bachelor’s degree in Information Technology, Computer Science, Business, or related field, or equivalent practical experience.
  • Minimum of 2+ years of experience in administrative support within a professional services or accounting environment
  • Strong experience using Karbon for task and workflow management
  • Excellent attention to detail and ability to manage multiple tasks across different systems
  • Strong written communication skills with the ability to manage professional correspondence
  • Familiarity with Claude Cowork or similar AI productivity tools
  • Exposure to workflow optimization or process improvement
  • Comfortable working in fast-paced, multi-client environments with shifting priorities
  • Strong communicator who is proactive, confident in raising issues, and comfortable giving and receiving feedback
  • Collaborative working style with a warm, approachable personality and sense of humor
  • Highly organized, detail-oriented, and able to stay calm under pressure while managing multiple system
