Virtual Assistant (Admin, Sales & Quotation Support)
Company: Transport Logistics Firm (Australia-based)
Type: Part-Time (Approx. 30 hours/week)
Schedule: 10 hours per day, 3 days per week (Australian Western Standard Time)
Rate: USD $5/hour
About the Role:
We’re looking for a Virtual Assistant who can provide administrative, customer service, and sales quotation support for an established transport logistics company based in Australia. The ideal candidate is highly organized, proactive, and experienced in handling operational and client-facing tasks.
You’ll be working directly with the client to manage invoicing, prepare transport quotes, and assist with customer communications — helping streamline their daily operations and improve efficiency.
Key Responsibilities:
– Manage invoicing and data entry using Xero
– Handle customer communications via email and phone
– Prepare sales quotations and transport equipment estimates
– Assist with client inquiries, follow-ups, and scheduling
– Coordinate calendars and internal task lists
– Provide basic marketing support when needed
– Help develop and document SOPs for recurring tasks
Requirements:
– Proficiency in Xero and Google Workspace (Docs, Sheets, Drive, Gmail)
– Excellent English communication skills (spoken and written)
– Experience working with Australian clients or companies (preferred)
– Background in sales, quoting, or estimating (highly desirable)
– Organized, detail-oriented, and self-driven
