Job Description

We are looking for an experienced Virtual Assistant – Legal Assistant to help our clients. Your responsibilities will encompass a wide range of administrative, legal, and organizational tasks. This role requires exceptional attention to detail, strong organizational skills, and the ability to manage multiple responsibilities simultaneously.

Responsibilities

  • Provide administrative and legal support to the attorney, including data entry and document management.
  • Assist with client prospecting by creating property and ownership lists based on specific criteria.
  • Manage e-filing of court documents using systems such as Odyssey and other relevant platforms.
  • Conduct various legal research tasks utilizing tools like CaseText and CoStar.
  • Develop Standard Operating Procedures (SOPs).
  • Perform additional administrative tasks as needed, including scheduling, maintaining records, and other duties assigned by the attorney.

Requirements

  • Graduated with a 3-year or 4-year Bachelor’s degree
  • Candidates must provide either an NBI Clearance or Police Clearance (preferred) upon hiring
  • Must be comfortable with using Hubstaff, a time-tracking application
  • Familiarity with legal industry software or platforms like Odyssey (e-filing system) and CaseText (legal research).
  • Experience or knowledge of the U.S. legal system, especially in commercial real estate or property tax law.
  • Understanding of CoStar (a commercial real estate research service).
  • Previous experience working in a law firm or a similar setting.
  • Strong data entry skills with an emphasis on precision
  • Strong email management skills
  • Professional-level English (written and verbal/voice)
  • Proficiency in using Odyssey, CoStar, CaseText and other similar software
  • Basic knowledge of DropBox, SharePoint, Evernote, OneDrive, Zoom and Chat GPT
  • Familiarity with Microsoft Office Suite, particularly Outlook, Word, and Excel
  • Computer or laptop with access to the internet (minimum speed of 25 Mbps)

Hardware Requirements

  • At least a 720p HD Webcam.
  • A noise-canceling headset.
  • At least a 25mbps primary internet connection.
  • A backup laptop, backup internet connection device, and backup power supply in case of power outage and emergencies.
  • Minimum recommendation for your main computer: Intel Core i5 or equivalent with 8 GB RAM or higher
  • Minimum recommended for your backup computer: Intel Core i3, 4 GB RAM
