Virtual Assistant – ClickUp + ChatGPT Power User

About Us

Civilocity is a U.S.-based design partner supporting civil engineering firms with drafting, design, and engineering work. We’re looking to bring on a Civil Designer or Civil Engineer based in South Africa with strong Civil 3D experience to join our growing team. We’re looking for a Virtual Assistant to help streamline operations and support our growing business. The ideal candidate speaks fluent English, has extensive experience using ClickUp and ChatGPT, and can confidently make phone calls on our behalf when needed. Bonus points if you’ve worked with or at an architecture or engineering firm before.

Key Responsibilities

– Manage tasks, due dates, and project workflows using ClickUp

– Use ChatGPT to help draft emails, organize ideas, and support day-to-day admin tasks

– Make professional phone calls on our behalf when needed (clients, vendors, partners)

– Conduct lead generation and web research, including prospecting potential clients, gathering contact details, and maintaining organized lists

– Set appointments with prospective leads, existing clients, and manage scheduling logistics

– Help manage Google Workspace (Docs, Sheets, Calendar, Gmail, etc.)

– Support daily operations and follow up on tasks

Requirements

– Fluent spoken and written English

– Proven ClickUp experience – you should know how to build automations, dashboards, views, etc.

– Strong experience using ChatGPT to streamline workflows

– Comfortable making outbound calls, receiving incoming calls, and leaving voicemails in a professional manner

– High-speed internet and a reliable computer setup

– Availability to work between 9 AM – 5 PM Pacific Time (Mon–Fri)

– Familiarity with Google Workspace (Gmail, Docs, Sheets, Calendar)

Bonus Experience

– Experience supporting architecture, engineering, or construction professionals

– Familiarity with CRMs, basic project management, or proposal writing

This role could start with part-time or full-time requirements and could grow into a long-term, higher-responsibility position for the right person.
