Role: Virtual Assistant – Bookkeeping

Work Arrangement: Work from Home

Location: Philippines – Ortigas / Makati / Angeles / Mabalacat / Cebu / Davao

Schedule: Morning Shift

The Virtual Assistant will play a key role in ensuring that new properties are efficiently onboarded, listed, and managed across all online platforms. The role requires strong organizational skills, attention to detail, and a customer-focused approach to ensure seamless distribution and payment processes.

Key Responsibilities

  • Online Distribution Review
  • Regularly review property distribution across online platforms to ensure consistency and visibility.
  • Identify and resolve discrepancies in pricing, availability, or content.
  • Payments Assistance
  • Support the process of taking payments for properties.
  • Ensure transactions are processed accurately and securely.
  • Provide support in reconciling payments where required.
  • Guest Communication & Admin Support
  • Respond to guest enquiries and emails in a timely and professional manner.
  • Provide administrative assistance including calendar management, data entry, and file organization.
  • Assist with side reception duties as needed, helping to manage day-to-day virtual front desk operations.
  • Experience in hotel/hospitality/property management background specifically.
  • Doing emails, messages guests, taking payments, managing online agents like BDC, VRBO, EXPEDIA and AIRBNB.
  • Checking and approving invoices for payment
  • Bank account reconciliation for payments received
  • Managing on-charging services to clients

Qualifications & Skills

  • 2 years of experience in a similar role
  • Experience in checking and approving invoices for payment, bank account reconciliation for payments received, and managing on-charging services to clients
  • Previous experience as a Virtual Assistant or in the hospitality/tourism industry is highly desirable.
  • Strong knowledge of online booking platforms (e.g., BDC, VRBO, Booking.com, Expedia, Airbnb) is an advantage.
  • Excellent written and verbal communication skills in English.
  • Highly organized, detail-oriented, and proactive.
  • Proficiency in Microsoft Office / Google Workspace; familiarity with property management systems is a plus.
  • Ability to work independently and manage multiple priorities.

Non-negotiable Skills & Requirements

  • Excellent understanding of English spelling and grammar (for listing creation).
  • Experience with online agents like (booking.com / Airbnb / etc would be favoured).
  • Experience with marketing would also be favoured.
