Administrative Virtual Assistant (Medical/Legal Support + Marketing)

Part-Time (20 hrs/week) Potential Full-Time | Contract Position | $375/month

We are a growing physician-led consulting company seeking a highly organized, detail-oriented Administrative Virtual Assistant to support our case preparation and marketing efforts.

This is a long-term opportunity for the right candidate. The role will begin as part-time but is expected to transition into full-time as the company grows.

Position Details

  • 20 hours per week
  • 4-hour shifts, 5 days per week
  • Approximately:
  • 10 hours/week Case Prep & Administrative Support
  • 10 hours/week Marketing & Outreach
  • Compensation: $375 (usd)/month
  • Contract position
  • Remote

We are a medical practice that provides services such as medical case reviews, expert reports, consulting, and advisory services for insurance companies, attorneys, and corporations.

Responsibilities Administrative & Case Preparation (50%)

Case prep and medical records management

Organizing and labeling files

Managing patient/client folders

Managing trackers and case lists

Scheduling appointments and calls

Managing phone calls and emails

Assisting the Senior Administrative Assistant with tasks

Research related to cases or projects

Other administrative tasks as requested

Responsibilities Marketing& Outreach (50%)

Cold-calling prospective clients

Cold-email outreach

Social media management (posting, engagement, messaging)

Updating contact lists and CRM

Researching prospective business opportunities

Assisting with marketing campaigns

Required Skills & Qualifications

  • Strong English communication skills (written and verbal)
  • Comfortable making outbound calls
  • High attention to detail
  • Organized and process-driven
  • Tech-savvy and able to learn new software quickly
  • Comfortable handling confidential information
  • Reliable internet connection
  • Quiet workspace
  • Ability to follow instructions precisely

Preferred (Not Required But a Plus)

  • Experience in medical, legal, insurance, or professional services fields
  • Experience with CRM systems
  • Experience with Google Workspace / Microsoft 365
  • Social media marketing experience
  • Experience with document organization and file management systems
