The Opportunity at a Glance A high-end luxury travel and bespoke travel design agency is seeking a Virtual Assistant – Travel Operations & Marketing to support its growing client portfolio. The business specialises in highly personalised travel experiences, crafted with deep destination knowledge and exceptional attention to detail.
This is a fully remote, Philippines-based role supporting travel operations, client onboarding, bookings, CRM management, and content preparation. The role is ideal for someone who thinks in end-to-end workflows, not just tasks, and enjoys working in a structured, detail-driven environment.
How You’ll Make an Impact You’ll play a key role in keeping travel operations running smoothly and ensuring clients receive a polished, premium experience from onboarding through to travel.
Your Responsibilities Include
- Managing new client onboarding workflows (VA scope only)
- Creating and maintaining client profiles in CRM and travel systems
- Preparing quotes and invoices for advisor review
- Supporting bookings and confirmations once approved and paid
- Preparing client itineraries using itinerary-building tools
- Maintaining accurate, consistent records across all systems
- Following strict document storage and file-naming protocols
- Managing follow-ups, reminders, and task tracking
- Assisting with content preparation for blogs, social posts, and reels (for approval)
- Keeping inboxes, CRMs, and shared folders clean and organised
- Supporting accounting-related admin tasks linked to travel bookings
What We’re Looking For – You’re the Perfect Fit if You:
- Have at least 4 years of full-time administrative experience
- Have excellent written and spoken English
- Are highly organised, detail-oriented, and process-driven
- Can follow documented workflows exactly and think end-to-end
- Are confident working independently once authorised
- Maintain strict confidentiality and data accuracy
- Have travel agency or travel support experience (required / highly preferred)
- Are comfortable working with Australian time zones
- Have a stable internet connection, backup power/internet, and a professional home workspace
What Sets You Apart – You’ll Shine Even Brighter With:
- Experience working in a travel agency or luxury travel environment
- Experience using Tramada or similar travel accounting systems
- CRM experience (HubSpot or similar)
- Experience preparing itineraries using tools like Travefy
- WordPress experience for blog uploads
- Canva or CapCut experience for basic content preparation
- Basic SEO knowledge
- A background in Business, Marketing, Accounting, or a related field
Work Schedule & Employment Terms
- Full-Time | Monday to Friday
- Remote role for Philippine-based candidates only
