We’re hiring a Customer Service VA who can handle customer support + general VA operations. This role is a blend of Virtual Assistant + Customer Success / Client Support, so you must be comfortable working with systems, people, and priorities daily.
IMPORTANT: Only apply if you have proven experience in BOTH operations and customer service.
You’ll be the front line for client communication and internal coordination — ensuring customers are supported quickly, requests are tracked properly, and operations run smoothly behind the scenes. You’ll keep our inboxes, CRM, and workflows organised so nothing slips.
Job Responsibilities
- Respond to customer enquiries via email/chat/WhatsApp in clear, professional English
- Triage requests, gather the right details, and route to the correct team member
- Track open queries and follow through until resolution (no dropped threads)
- Handle scheduling and client reminders (calls, deadlines, document requests)
- Maintain a friendly, calm tone — especially with frustrated clients
- Maintain CRM hygiene (update contacts, tags, pipeline stages, notes, next steps)
- Support workflow coordination: task tracking, follow-ups, and deadline reminders
- Organise shared inboxes and create “inbox zero” systems (labels, templates, rules)
- Prepare simple reports/updates (e.g., weekly support summary, response times, issues)
- Document processes (SOPs) as you go to improve consistency
- Assist with admin tasks like booking calls, updating trackers, and basic data entry
Skills & Qualifications
- Strong customer service background (handling customer queries, follow-ups, resolution)
- Strong operations/VA background (trackers, admin systems, workflow coordination)
- Fluent English (written and spoken) with a professional tone
- Highly organised: you track details, deadlines, and follow-ups without being chased
- Calm under pressure, solution-oriented, and confident communicating with clients
- Discreet and trustworthy (you’ll handle sensitive client info)
Work Environment
- You must live in the Philippines (please do not apply if this is not the case as we will not reply).
- You have your own computer and Internet connection (this is a home-based position).
- You are willing to work during U.K. business hours.
