We are seeking a highly analytical and detail-oriented Virtual Assistant to support our growing team in Digital Advertising!

Key Duties And Responsibilities

  • Calendar/Schedule Management
  • Schedule and organize various types of meetings for Ryan, including but not limited to: Coffee meetups, Quick connects, Podcast pre-calls, Podcast recordings, Client meetings, and Internal team meetings
  • Ensure all meetings are confirmed and reminders are set.
  • Coordinate with participants to find mutually available times.
  • Manage the calendar(s) to avoid conflicts and optimize schedules.
  • Setting up Zoom meetings and formatting of calls
  • Schedule/calendar management for Courageous internal and external meetings
  • Admin Support
  • Admin support as needed for various executives
  • Misc. Research (address lookups, project based inquiries, etc.)
  • Item procurement: internal and misc. client needs
  • Book Ordering
  • File Management
  • Weekly call with Team
  • Client Experience (client gifting, project kick offs, etc.)
  • Invoice support – assistance managing accounts payable/accounts receivable
  • Event Management
  • Planning, prep, logistics for Courage Week (One off projects)
  • Outreach to organizations and events for speaking opportunities
  • Content/Website
  • Proofreading support: emails, documents, creative pieces
  • Updates to websites
  • Keynote editing and proofreading for various client and internal projects
  • Asset creation in Canva
  • Keynote/Speaking Outreach

Requirements/Qualifications

  • Working knowledge of Microsoft Office (Excel, PPT) and Google Suite (Google Drive, Sheets, Slides)
  • Use of Slack for ongoing communication and Asana for Project Management (can train if no prior experience)
  • With at least 3-5 years of relevant operations support experience
