We are seeking a highly adaptable and resourceful Senior Executive Assistant to support two executives with distinctly different working styles. This role requires an individual who can seamlessly shift between structured, process-driven operational support and creative, fluid editorial assistance. The ideal candidate will be an excellent communicator, proactive, highly organised, and comfortable managing a broad range of tasks that may vary significantly from day to day. This is a remote role, but the successful candidate must be able to align with Australian business hours and provide out-of-hours support when necessary due to the fast-paced nature of editorial and executive demands.
Key Responsibilities:
- Manage schedules, appointments, emails, and correspondence, ensuring smooth coordination. Organise digital files, prepare agendas, record meeting notes, and track follow-ups.
- Assist in planning, executing, and tracking business and editorial projects. Facilitate team communication, research, reporting, and operational support.
- Draft, review, and format written materials while supporting content planning. Coordinate deadlines, submissions, and liaise with contributors and stakeholders.
- Arrange travel, accommodations, and transportation with detailed itineraries. Handle travel-related expenses, reimbursements, and documentation.
- Maintain spreadsheets, databases, and financial records while tracking key metrics. Assist with budget management, invoicing, and vendor coordination.
- Track and reconcile executive expenses, invoices, and reimbursements. Manage purchase orders, approvals, and vendor payments.
- Adapt to various tasks, including event coordination, research, and problem-solving. Provide personalised support tailored to each executive’s leadership style.
- Comfortable providing out-of-hours support when required due to the fast-paced nature of editorial and executive demands.
Qualifications:
- Minimum 5+ years of experience as a Senior Executive Assistant, supporting C-suite executives in sophisticated business e.g. finance, media, consulting, law, or multinational corporations.
- Minimum 3+ years experience working with businesses based in Australia, the USA, or the UK is essential.
- Exceptional written and verbal communication skills in English, with experience drafting high-level business correspondence, reports, and presentations.
- Strong organisational and time management skills, capable of handling multiple priorities, high-pressure deadlines, and confidential executive matters.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Google Workspace, and project management tools (e.g. clickup).
- Strong Canva skills to create polished, sophisticated executive presentations (to be tested in the interview process).
- Strong analytical and spreadsheeting skills
