Outsource Access is seeking a highly skilled Senior Administrative Executive to provide top-tier support to our leadership team and oversee the smooth operation of daily business functions. Responsibilities:

    • Operational Support: Lead and manage day-to-day office operations, ensuring efficient workflows, managing resources, and coordinating activities to support the company’s operational objectives.
    • Process Optimization: Evaluate and improve administrative processes to increase operational efficiency. Propose and implement improvements to workflow, document management, and resource allocation.
    • Executive Assistance: Provide comprehensive administrative support to senior executives, including managing schedules, handling communication, and ensuring timely execution of tasks.
    • Meeting and Event Management: Coordinate and facilitate executive meetings, board meetings, and internal events. Prepare materials, manage logistics, and ensure follow-up on action items.
    • Vendor and Stakeholder Coordination: Act as the primary point of contact for external vendors and service providers. Negotiate contracts, manage relationships, and ensure smooth delivery of services.
    • Financial Operations: Assist with operational budget management, including expense tracking, purchase orders, and vendor payments. Work closely with the finance team to ensure accuracy and compliance.
    • Project Management: Assist in planning and executing special projects that enhance operational efficiency, from inception through completion, ensuring milestones are met.
    • Compliance & Documentation: Ensure adherence to legal and regulatory requirements. Maintain organized records and documentation for audit and compliance purposes.

Requirements

    • Bachelor’s degree in Business Administration, Operations Management, or a related field; MBA and/or Law degree preferred.
    • 5+ years of administrative or operational experience, preferably within capital funds, financial services, real estate, or investment-related environments.
    • Strong project management skills with the ability to manage multiple priorities and deadlines.
    • Proven experience in streamlining processes and improving operational efficiency.
    • Familiarity with financial compliance regulations and best practices for operational management.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and operations-related software, as well as strong knowledge of CRM and ERP systems.
    • Excellent communication, problem-solving, and organizational skills.
    • Ability to work independently, make decisions, and prioritize tasks effectively.
