Job Overview:

We are seeking a dynamic Sales IT Admin Support professional who thrives in a fast-paced environment. This role blends sales support and customer service with the potential for career growth, leading toward management opportunities. The successful candidate will manage customer inquiries, product sourcing, and quotes while overseeing inventory and purchasing. The role includes financial responsibilities such as invoice entry, reconciliation of agreements, and managing receivables, as well as supporting team operations by acting as a dispatch manager and assisting with onboarding tasks. Effective communication, proactive customer engagement, and strong administrative skills are crucial for success.

An ideal candidate will be detail-oriented, possess excellent problem-solving skills, and have a background in IT, sales, or administration. 

Responsibilities:

  • Customer Engagement: Handle initial customer inquiries, source products, and generate quotes. Manage stock inventory and purchases to ensure timely delivery. 
  • Financial Duties: Enter invoices from timesheets into Xero and manage receivables. Perform reconciliation of agreements and invoices, ensuring accuracy. Generate financial reports through Xero and ConnectWise (CW) as needed. 
  • Team and Sales Support: Act as the dispatch manager when required. Support the team by checking and approving timesheets and assist in onboarding new staff. Manage several mailboxes efficiently. 
  • Communication: Conduct regular customer feedback calls to improve service quality. Collaborate effectively with the team to meet tight timelines and expectations. 
  • Administrative Tasks: Create customer accounts or profiles on the administration system platform. Handle support phone calls/emails and manage support tickets. 
  • Quality Assurance: Audit engineer compliance with company policies and report irregularities to management. 
  • Other Responsibilities: Ensure daily completion of quotes and amendments. Contribute to other projects and tasks as directed by management. 

Requirements:

  • Analytical Skills: Strong problem-solving skills and the ability to multitask in a demanding environment. 
  • Communication: Excellent written and oral communication skills, including effective email management across multiple mailboxes. 
  • Teamwork: Demonstrate initiative in assisting the team when necessary. 
  • Software Proficiency: Extensive experience with MS Office (Word, Excel, Outlook) and accounting software like Xero. 
  • Technical Background: Background in IT or related field is highly desirable, along with familiarity with MSP applications such as ConnectWise PSA™. 
  • Attention to Detail: High accuracy in grammar, spelling, and system administration logs. 
  • Adaptability: Ability to thrive under demanding workloads while maintaining a positive attitude. 
  • Sales Experience: Background in sales or sales administration is advantageous. 
  • Additional Skills: Experience in Managed Services, product management, and support is beneficial. 
  • Familiarity with Tools: Proficiency in using Grammarly and ChatGPT for content improvement.
