We’re looking for a Marketing Administrator to provide essential administrative support to our client’s marketing department. As a Marketing Administrator, you will be an integral part of our client’s marketing and communications team. In this role, you’ll be managing schedules, coordinating meetings, and handling various logistical tasks, ensuring the marketing team operates seamlessly.
Working closely with the Marketing Coordinator, you’ll play a key role in maintaining the momentum of marketing campaigns and reducing onboarding, off-boarding, and branch transition time by 50% to 75%, and reducing Ticket Queue Management by 50%

Key Responsibilities:
Manage Fresh Desk Ticketing and Support
- Manage and prioritize primary ticket ingestion, ensuring efficient handling and response times.
- Develop canned responses for common queries and streamline the ticket queue with quick response times.
Support Onboarding, Offboarding, and Branch Transitions
- Assist the Marketing Coordinator with employee onboarding by managing key processes and information.
- Ensure offboarding procedures are managed smoothly and efficiently.
- Oversee branch transitions to ensure smooth operational shifts.
Maintain Compliance and Information Management
- Manage shared content and design compliance approvals, ensuring all materials adhere to company and regulatory standards.
- Regularly update and maintain accurate Loan Office information records in the system.
- Keep the marketing offers and compliance disclosure spreadsheet updated and communicate changes to stakeholders.
Database and Metrics Management and Reporting
- Format, update, and clean up marketing databases for accuracy and accessibility.
- Track tech tool usage metrics, implementing gamification strategies to boost engagement and reporting findings.
- Develop quick reference video guides and explanations for various CRM tasks and design compliance systems, supporting team efficiency.
Provide Administrative Support
- Assist with email support, account setup, and troubleshooting for marketing tools.
- Set up and coordinate eSignature integrations across platforms like Outlook and Salesforce.
- Develop templates for common marketing requests such as standard responses for flyer requests and other materials accessible to the marketing team.
Requirements

Tech-Savvy: Comfortable with tools like Fresh Desk, and Google Suite, and familiarity with CRM and project management tools.
Compliance-Minded: Understands the importance of adhering to regulatory standards and maintaining accurate records.
Proactive and Resourceful: Ability to work independently, identify areas for improvement, and implement efficient solutions.
Qualifications:
- Bachelor’s degree in Marketing, Business Administration, or a related field is preferred.
- Proven experience in an administrative role, ideally within a marketing or communications team.
- Proficiency in Fresh Desk, Google Suite, and other relevant tech tools.
- Strong written and verbal communication skills
