Role Overview

The Executive Virtual Assistant role will be diverse and dynamic. Your responsibilities will include managing key tasks and projects to support our client in the photography and creative space. You will ensure seamless operations and help achieve business goals through scheduling, project coordination, content creation, social media management, customer service, and website updates. Adapting to a fast-paced, creative and visual storytelling environment is essential to success in this role.

You’ll be working across brands, including:

  • Creative Resource Collective – an education platform offering online courses, mentorship, and tools for photographers
  • reFocus Awards, 1839 Awards, Exposure One Awards – international photography contest platforms
  • Drew Doggett Photography – a fine art photography studio

This role is ideal for someone detail-oriented and highly organized, thrives in creative industries, and enjoys collaborating with a small, passionate team.

Key Responsibilities

  • Manage and organize client tasks and projects to ensure deadlines are met and priorities are addressed
  • Support data entry and management of new artist leads, including outreach lists for contest invitations and marketing efforts
  • Assist in social media management across multiple brands, including scheduling, posting, and engagement tracking
  • Coordinate and execute marketing campaigns, including email marketing, promotions, and contest announcements
  • Provide high-level customer service and artist support by responding to inquiries, assisting with contest submissions, and troubleshooting issues
  • Oversee internal team communications and external partner coordination to ensure effective collaboration
  • Prepare and maintain professional documents, reports, and creative decks as needed
  • Help maintain an organized digital workspace, including file management and resource tracking across platforms

Required Skills and Qualifications

  • Excellent command of written and spoken English
  • Must be highly organized
  • Full-time availability (40 hours/week), ideally Monday to Friday between 9 AM and 5 PM EST
  • Proficiency in Google Suite and project management tools (preferably Asana)
  • Previous experience in remote or online work environments
