We are seeking a talented Executive Team Assistant to join our Nuix team, providing remote support to our Chief People Officer, Chief Strategy and Innovation Officer, and Chief Product Officer (and their respective teams), all of whom are based in Sydney, Australia.

The Executive Team Assistant plays a critical role in providing high-level administrative support to our Executive Leadership Team, always staying a week ahead of their commitments. This position requires exceptional organizational and administration skills, effective communication within a global organization, and the ability to proactively manage complex tasks efficiently.

While this is a remote role, candidates must reside within 25km of downtown Manila to accommodate regular in-person team sessions. You’ll be joining a close-knit, global team, contributing to a collaborative, high-impact environment built on support and shared success.

Key Responsibilities

  • Executive Diary & Meeting Management: Coordinate complex meetings across multiple time zones, manage executive priorities and time allocation with comprehensive pre-meeting preparation
  • Travel Coordination & Logistics: Arrange all domestic and international travel including flights, accommodation, transportation, itineraries, and proactive change management
  • Event Planning & Execution: Plan and execute internal team offsites, virtual/in-person Town Halls, and employee engagement events
  • Administrative Support & Documentation: Handle correspondence, reports, presentations, Board Report compilation, expense processing, and Purchase Order management
  • Cross-Team Coordination: Collaborate with other Executive Assistants to align executive diaries, events, corporate calendar, and regional initiatives
  • Process Improvement & Special Projects: Identify and implement administrative system improvements, support onboarding, and undertake ad-hoc projects as required
  • Client Communication & Relationship Management: Correspond with internal and external clients, maintaining a warm, professional disposition while addressing needs with urgency, priority, and confidentiality

Skills, Knowledge and Expertise

  • Experience & Environment: 5+ years in similar role within global company, with proven ability to thrive in fast-paced, agile, result-oriented organization with multiple stakeholders
  • Communication & Stakeholder Management: Advanced written/verbal communication skills across all levels internally and externally, with strong professionalism in all interactions
  • Technical Proficiency & Planning: Tech-savvy with strong Office systems expertise (PowerPoint, Excel, Word, Outlook, Teams, cloud platforms) and demonstrated ability to prioritize workload effectively
  • Performance Under Pressure: Must perform well under pressure and high workloads, work to tight deadlines with high attention to detail and effective communication
  • Confidentiality & Integrity: Handle sensitive information with professionalism and strict confidentiality, demonstrating discretion in all communications
  • Proactive Problem-Solving: Strategic approach to problem-solving with initiative, excellent follow-through, can-do attitude, and ambition to learn and develop professionally.
