Urgent Hiring: Executive Assistant / Virtual Assistant (WFH/REMOTE, DIRECT US CLIENT)

Start Date: Immediately
Schedule: 24 hours per week to start, within the hours of 9:00 AM – 6:00 PM EST (with flexibility based on the executive’s travel schedule)
Pay: $5.00 – $6.25 per hour (depending on experience)
Requirements:
  • Excellent English communication skills (both written and verbal)
  • Impeccable phone etiquette
  • Skilled in research
  • Technology-savvy and proficient with ChatGPT/AI software
  • Available part-time to start (24 hours per week) and on weekends as needed
  • Ability to work independently and solve problems proactively
  • Detail-oriented with strong organizational skills
  • Ability to build effective relationships with staff at all levels
  • Reliable, punctual, and no history of absenteeism or tardiness
  • Honest, transparent, and ethical work practices
  • Willing to learn and adapt to new tools and software
  • Seeking a permanent, long-term position
  • Must have noise-cancelling headphones and a Core i3 or i5 PC/ laptop
  • A device with an iMessage account
Responsibilities:
  • Assist an executive who operates multiple small businesses in Florida and California, including a medical practice (medical experience is a plus)
  • Serve as the point of contact between the executive and the team
  • Manage executive calendars and travel arrangements
  • Learn and use Trello for task management and team communication
  • Conduct research on topics like events, projects, technologies, and gifting
  • Provide clear, continuous communication and status updates on tasks
  • Improve processes for personal and professional operations
  • Assist with planning team socials and gifting
  • Maintain organized electronic files and ensure efficiency across projects
  • Assist with personal and professional overflow work, including client projects
  • Independently identify and resolve problems creatively and proactively
  • Provide administrative support, including calendar management, meeting scheduling, invoicing, expense reports, and vendor agreements
  • Support company bookkeeper with organizing expenses and handling incoming mail
  • Assist with accounts payable and home remodel projects, including managing contractors, organizing records, and estimating costs
  • Research cost-effective options for services and products and manage information in Excel spreadsheets
  • Assist with organizing receipts, estimates, and contact information on Google Drive
  • Book travel and restaurant reservations
  • Schedule appointments and meetings
  • Supervise permit runners and communicate with architects and engineers for home remodel projects
