We are a fast-growing, founder-led food brand based in New York City. We partner with beloved restaurants, cafes, and retailers to deliver innovative, high-quality products, and we’re scaling quickly. We need a sharp, proactive Executive Assistant who can jump into everything from communication to coordination and help build systems as we grow.
JOB DESCRIPTION
We’re hiring an Executive Assistant to support our founder with diverse tasks, including email and calendar management, external communication, order tracking, research, CRM updates, and general operations. You’ll be our go-to person for getting things done before we hire for specific departments like logistics, sales, and admin.
This is a high-trust, high-responsibility role that requires exceptional English, strong initiative, high organizational skills, and the ability to juggle multiple projects independently. We use modern software for our work, so someone familiar with tech startups and tools is ideal.
Start at 20 hours/week during NYC mornings (ET) with potential to grow to a full-time role.
RESPONSIBILITIES
• Support the CEO with daily email and calendar management, drafting messages, taking meeting notes, and creating presentations
• Act as a point of contact with clients, vendors, and team members; follow up professionally on behalf of the CEO
• Maintain and update Pipedrive, assist with outreach coordination, and track sales activity
• Help the CEO manage wholesale and event orders, vendor communication, and delivery follow-ups
• Conduct research on tools, vendors, competitors, and assist with sourcing and outreach
• Assist with recruiting by drafting job posts, screening applicants, and scheduling interviews
• Handle light bookkeeping tasks including invoicing, payment tracking, and order reconciliation
• Organize company files and help document internal processes and SOPs
• Use AI tools like ChatGPT to improve speed and quality of communication, research, and documentation
• Take ownership of a wide variety of tasks, learn quickly, and adapt to the evolving needs of a growing startup
REQUIREMENTS
• 3+ years as an Executive Assistant or similar, ideally supporting a founder at a startup
• Excellent written and spoken English; confident drafting professional emails
• Highly organized, proactive, and able to manage tasks independently
• Fast learner who figures things out and improves systems without hand-holding
• Experienced with Google Workspace, ClickUp, Pipedrive (or other CRM), ChatGPT
• Available to work NYC mornings (ET), Monday–Friday
• Bonus: experience with hiring and vendor coordination
• Bonus: business fluency in Chinese, Japanese, Thai, or Korean
