Job Title: Executive Assistant
Job Summary:
We are seeking a highly organized and detail-oriented Executive Assistant to provide remote
administrative, operational, and personal support. In this role, you will be responsible for
managing schedules, coordinating communication, supporting projects, and handling essential
administrative tasks to enhance efficiency and productivity.
Key Responsibilities:
Administrative & Communication Support:
? Manage emails, calendars, and scheduling.
? Organize and maintain digital and physical files/documents.
? Act as a primary point of contact for internal and external communication.
? Answer inbound calls professionally and direct inquiries as needed.
? Respond to emails, messages, and phone calls promptly.
? Take meeting notes and provide summaries when necessary.
Lead & Client Management:
? Maintain and develop Apollo sequences.
? Manage inbound lead responses, ensuring prompt follow-up and automation where
applicable.
? Input new lead data into AutoTask.
? Handle client inquiries professionally and provide basic troubleshooting.
? Conduct customer outreach and engagement with existing and potential clients.
? Communicate with potential donors to build and maintain fundraising relationships.
? Send Directors Welcome Letters and Thank You gifts.
Project & Data Coordination:
? Track project progress and deadlines.
? Organize and manage SharePoint folders.
? Collect, organize, and analyze assessment data.
? Create assessment tickets and prepare assessment packets.
? Prepare presentation packets, including quotes.
? Confirm appointments and review executive summaries.
? Coordinate “Wow box” creation and delivery.
? Send quotes, Service Level Agreements (SLAs), and ACH agreements for signatures.
? Maintain and update client data spreadsheets.
? Oversee onboarding ticket creation, client data input, and ensure ticket completion.
? Set and coordinate 30-day review appointments.
? Establish Quarterly Business Review (QBR) cadence and set up appointments.
? Prepare QBR agendas.
? Provide support for Sandler Partner requests.
Marketing & Social Media Support (Optional):
? Assist with managing social media accounts, scheduling posts, and engaging with
audiences.
? Create or edit content for newsletters, blogs, or promotional campaigns.
Financial & Personal Assistance:
? Process invoices, expenses, and payments.
? Book travel arrangements and accommodations.
? Perform personal tasks as required (e.g., online shopping, gift ordering).
Qualifications & Skills:
? Proven experience as an Executive Assistant or in a similar administrative role.
? Proficiency with tools such as Apollo, AutoTask, SharePoint, and Microsoft Office Suite.
? Strong organizational and time-management skills.
? Excellent verbal and written communication skills.
? Ability to work independently and handle confidential information with discretion.
? Detail-oriented with a focus on accuracy and quality.
