We serve high-profile clients in transportation, infrastructure, and environmental planning. We are seeking an experienced, proactive Executive Assistant to support the CEO in high-level administrative and operational functions.

Position Overview

We are looking for a seasoned Executive Assistant who has worked in large corporate environments, supporting C-level executives with a high degree of professionalism and discretion. The ideal candidate is highly organized, technologically adept, and thrives in fast-paced, mission-driven settings where priorities shift quickly. Must have minimum of current 14 months working US PST time.

This role requires a high level of competence in executive communications, time management, data tracking, and workflow optimization. The EA will play a pivotal role in helping the CEO operate at peak efficiency and ensure that nothing falls through the cracks. Attention to detail, no spelling errors, ability to create professional looking documentations that are acceptable from US standards are required. This position is someone who is exceptional who has stepped up and is exceptional based on US standards. We needed an A+ player.

Key Responsibilities
•   Manage the CEO’s complex calendar, including scheduling internal/external meetings, board calls, travel, and speaking engagements using Outlook.
•   Serve as the primary gatekeeper and point of coordination for internal and external communication.
•   Create professional briefs, memos, and presentations to support business operations and strategic initiatives.
•   Draft correspondence and manage inbox triage with discretion and sound judgment.
•   Organize and maintain digital files using Google Drive and SharePoint, ensuring all documentation is accessible and properly structured.
•   Build and manage dashboards, reports, and tracking documents using Google Sheets, Excel (including pivot tables), and Asana.
•   Input, track, and manage tasks and project data in Asana, helping monitor deadlines and deliverables across teams.
•   Support executive-level follow-through by preparing for meetings, tracking action items, and ensuring completion.
•   Collaborate cross-functionally with staff and contractors to maintain smooth operations and executive alignment.
•   Anticipate the needs of the CEO, offering proactive solutions and clear communication.

Required Qualifications
•   Minimum 3 years of experience as an Executive Assistant supporting a C-level executive in a large corporate or fast-paced consulting environment.
•   Advanced proficiency in:
•   Google Workspace (including Gmail, Docs, Sheets, Forms, Calendar)
•   Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
•   SharePoint and Google Drive for document management
•   Project management platforms such as Asana (must be comfortable both receiving and managing data)
•   Strong capabilities in spreadsheet creation, pivot tables, and dashboard reporting.
•   Exceptional time management, with a demonstrated ability to prioritize, execute, and follow through.
•   Experience developing and formatting high-quality briefs, reports, and executive-level documents.
•   Strong written and verbal communication skills, with a high attention to detail.
•   Demonstrated ability to “manage up” and provide structured support that keeps executives aligned, informed, and effective.
