We are hiring for an Executive Assistant to support our project management leadership team.
The role of an executive assistant is important to the success of the executive and, as a result, the company. An executive assistant helps the executive for whom they work with tasks such as scheduling; reviewing, prioritizing and responding to emails; answering and returning phone calls; organizing documents; maintaining records; taking notes at meetings and any other administrative tasks that help the executive perform their job.
Collaboration Opportunities:
This role will be supporting the leaders of our Implementation, Strategic Initiative, and Enterprise PMO teams. This role will also collaborate with other EA’s within the organization to support our leadership team.
What You Will Be Doing:
- Manage complex calendars and prioritize meeting requests and events including travel arrangements and other events for the executive(s).
- Review, prioritize and respond to emails, and other correspondence on behalf of the team, this may include meeting notes and follow up on action items.
- Organize and maintain records and databases related to the team’s work including preparing and editing reports, presentations and other materials.
- Handle confidential and sensitive information with discretion and professionalism.
- Research and analyze data and information to support the team’s decision making.
- Liaise with internal and external stakeholders, clients, partners and vendors. This includes collaborative, effective and positive communication with other company Executive Assistants on scheduling and other project tasks.
- Perform administrative tasks such as expense reporting, time tracking, and other accounting tasks.
- Manage and oversee projects and initiatives assigned by the team while anticipating the executives’ needs, priorities and provide solutions and recommendations.
- Monitor and report on the progress and outcomes of the team’s goals and objectives.
- Initiate and lead projects and initiatives that align with the team’s vision and strategy.
Qualifications – Required and Preferred:
- High school diploma or GED; associate degree in administrative assisting or related field preferred. Bachelor’s Degree preferred.
- At least 3-5 years of experience as an executive assistant or similar role that included a high level of discretion and confidentiality.
- Proficient in Microsoft Office and other relevant software and tools as well as excellent verbal and written communication skills.
- Interested in working with a project oriented team.
- Strong organizational, time management and problem-solving skills with the ability to work independently and collaboratively with minimal supervision.
- Ability to handle multiple tasks and prioritize effectively with attention to detail and accuracy.
- Proactive, creative and innovative mindset.
- Available to work 9:00-5:00pm ET.
- Working in a company with a multi-national presence.
