Overview
This role is for a world-class Executive Assistant to support the CEO of Uprise Digital across both personal and business operations. But this isn’t your typical EA gig — you’ll also co-own Facebook Ad campaign coordination, CRM management via GoHighLevel, and assist in light project management across the marketing team. You’ll also handle contracts, payments, and hiring support. If you thrive in fast-paced environments, are highly detail-oriented, and love helping a business grow, read on.
North Star Responsibilities
- Protect the CEO’s Time: Ruthlessly filter and prioritise incoming requests, emails, and meetings.
- Own the Calendar: Strategically manage and build out the CEO’s perfect week.
- Support Growth: Prioritise activities that support revenue generation and business efficiency.
- Own Tools + Systems: Manage GHL CRM, coordinate internal team projects, and drive key initiatives forward.
- Improve Processes: Spot inefficiencies, suggest improvements, and create SOPs where necessary.
- Communicate With Clarity: Ensure all communication — internal and external — is sharp, timely, and professional.
Core Duties
Calendar & Meeting Management:
- Protect block time for deep work and strategy
- Organise meetings, team syncs, and external calls
- Plan drive time and travel buffers
Inbox & Communication:
- Maintain inbox at near-zero
- Respond on behalf of the CEO when appropriate
- Flag key opportunities or red flags for CEO review
Client & Internal Liaison:
- Coordinate onboarding meetings and client setups
- Create follow-up action items from team meetings
- Manage team reminders and accountability
Facebook Ad Coordination:
- Ensure ads are launched on time
- Communicate copy, creative, and targeting needs with the team
- Check GHL for lead attribution and flag issues
GoHighLevel CRM Management:
- Maintain pipelines
- Create automations and triggers
- Ensure all leads are tagged, tracked, and followed up
Project Coordination:
- Own timelines for onboarding, creatives, and deliverables
- Chase up overdue items from team or clients
- Update CEO on project status weekly
Client Contract & Payments Support:
- Send out client contracts and engagement agreements
- Track and schedule payments
- Pay contractor wages in coordination with finance
Hiring Assistance:
- Post job roles on platforms (like this one)
- Organise and screen candidate applications
- Book interviews and maintain hiring timeline
Personal Life Logistics (as needed):
- Handle scheduling for home or travel
- Booking appointments, flights, accommodation
- Gift buying or errands during launch periods
Hours & Expectations
Daily:
- 9:30am Calendar + Inbox Review
- Morning Huddle Prep
- EOD Check-in: flag any unresolved items, send daily summary
Weekly:
- Monday Planning
- Wednesday Sync with CEO
- Friday Admin Review
Ongoing:
- Weekly review of 6-week calendar
- Monthly CRM audit
- Quarterly CEO Review / Time Audit
Ideal Background
- Minimum 3 years in an EA or Operations Coordinator role
- Familiarity with Meta Ads, CRM, Project Coordination
- Natural problem solver and time optimiser
- Great writer with high attention to detail
- Has worked in a fast-paced agency or founder-led startup
