Working Hours: Regular Hours, Mondays- Fridays, 7 AM- 4 PM (Fixed day shift and weekends off!!)

We are seeking a highly organized, detail-oriented, and proactive Executive Assistant (EA) to support our Senior Broker. This role requires exceptional communication skills, the ability to manage multiple tasks efficiently, and a strong understanding of mortgage brokerage operations. The ideal candidate will have experience in administration
Support, CRM management, and liaising with clients and financial institutions.

    Job Qualifications:

  • Minimum 2 years of experience as an Executive Assistant, Virtual Assistant, or similar role.
  • Excellent written and verbal communication skills in English.
  • Strong organizational and time-management skills with high attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace.
  • Experience with CRM systems (e.g., Hubspot, Infynity, or similar).
  • Ability to work independently and manage multiple priorities effectively.
  • High level of professionalism and discretion in handling confidential information.

    Job Responsibilities:

    Administrative & Operational Support

    ● Manage the Senior Broker’s calendar, schedule appointments, and coordinate meetings.
    ● Handle email correspondence, draft responses, and follow up on outstanding matters.
    ● Maintain and update client records in the CRM system.
    ● Prepare reports, spreadsheets, and presentations as required.
    ● Organise and manage digital files and documentation for efficient retrieval.

    Client & Stakeholder Coordination

    ● Act as the first point of contact for clients, ensuring timely and professional communication.
    ● Coordinate with lenders, solicitors, and other stakeholders to track loan applications and settlements.
    ● Follow up with clients for missing documentation or additional requirements.
    ● Provide high-level customer service to ensure an exceptional client experience.

    Loan Process Support

    ● Assist in preparing loan applications and documentation for submission.
    ● Review and verify financial documents for completeness and accuracy.
    ● Monitor application progress and liaise with lenders for status updates.
    ● Support compliance and regulatory requirements by maintaining proper documentation.

    Process Improvement & Reporting

    ● Identify opportunities to streamline administrative processes and enhance efficiency.
    ● Maintain key performance metrics and prepare summary reports for the Senior Broker.
    ● Support training and onboarding of future offshore staff if required.
