Job Title: Administrative Virtual Assistant
Work hours: 40 hours (Full-time)
Timezone: Central or Eastern European Time (GMT +2)
Initial work schedule: Mondays-Friday 7 am to 4 pm (1 hour lunch break)
Rate: $4-5 per hour DOE
Job Overview:
We seek a proactive and detail-oriented Administrative Virtual Assistant (Admin VA) to support our Sales Managers and Sales Representatives by organizing and streamlining essential administrative tasks. Key responsibilities include tracking performance metrics, managing reputation on social media, handling customer inquiries, and providing administrative relief to the sales team. The ideal candidate is skilled in data tracking, CRM (GoHighLevel), and digital communication, ensuring efficient workflows and team support. This role reports directly to the Sales Managers, working closely with them to enhance sales team productivity and client satisfaction.
Responsibilities:
1. Sales Rep Administrative Support: Organize and manage administrative tasks for Sales Representatives, ensuring all necessary resources are available to help them focus on sales.
2. Performance Tracking and Data Management: Use Google Sheets to track and analyze performance metrics, keeping data organized and up-to-date for easy team evaluation.
3. CRM Management: Use GoHighLevel to manage client information, interactions, and sales data, ensuring accurate and accessible records within the CRM system. Create automation workflows and landing pages including integrations in GHL.
4. Operational Administration: Oversee general administrative tasks to support daily operations and maintain efficient workflows across the team.
5. Social Media Reputation Management: Manage comments on Facebook and Instagram, promptly addressing inquiries to maintain a positive brand image and enhance client satisfaction.
6. Email Correspondence: Respond to customer inquiries professionally and efficiently, providing clear, helpful, and timely responses.
Qualifications:
– Proficiency in Google Sheets for organizing, tracking, and reporting performance data.
– Experience with GoHighLevel CRM to manage client information and sales interactions effectively, including building automation workflows.
– Strong organizational skills and attention to detail for managing daily administrative tasks and ensuring operational flow.
– Experience in Facebook/Instagram comment management and reputation handling to address client feedback and inquiries professionally.
– Effective written communication skills to handle email inquiries, ensuring clear and professional responses.
