In this role, you’ll help keep referrals, provider coordination, and bookkeeping processes running smoothly while supporting accurate records and efficient daily operations. What You’ll Do:
- Process incoming patient referrals from email, submit them for insurance verification, and follow up on pending or delayed approvals.
- Enter approved referrals into the internal system and assign patients to the appropriate provider based on availability and capacity.
- Maintain accurate patient records and ensure referral, provider, and patient information stays updated and organized.
- Generate and review weekly reports to track which patients were seen, identify missed visits, and complete Monday and Friday updates.
- Follow up with providers, primarily by email, regarding unserved patients, referral confirmations, and scheduling-related issues.
- Monitor and organize inbox communications, escalating urgent matters when needed.
- Perform basic bookkeeping tasks in QuickBooks, including categorizing transactions, reconciling bank statements, and creating and marking invoices as paid.
- Maintain organized Excel sheets and assist with additional reporting and administrative tracking as processes evolve.
Who You’ll Work With:
Be an integral part of a collaborative healthcare support team, working closely with internal coordinators, providers, and administrative staff to keep referral workflows, patient updates, and financial tracking organized and moving forward efficiently.
Who We’re Looking For:
- Highly Organized: Able to manage multiple workflows (referrals, tracking, bookkeeping) while keeping everything structured and up to date
- Detail-Oriented: Ensures accuracy in patient data, financial entries, and reporting to avoid costly errors
- Tech-Comfortable: Able to learn and navigate systems like QuickBooks, Excel, and internal platforms efficiently
- Quick Learner: Able to pick up new systems and responsibilities quickly with training
- Basic Financial Understanding: Comfortable categorizing transactions and understanding simple accounting concepts
- Good Email Communication: Able to handle internal and external email communication clearly and professionally
- Experience: General work experience is required.
