The Opportunity at a Glance

We’re looking for a Team Administrator to support a growing business consultancy that provides strategic, operational, and marketing solutions to help organisations scale effectively. This is a full-time, remote role for Philippine-based candidates, employed under a proper PH setup.

As the central point of coordination, you’ll manage team calendars, project documentation, communication channels, and internal processes to ensure seamless workflow across multiple projects. This role requires someone with exceptional organisation skills, strong attention to detail, and the ability to think laterally when problem-solving.

How You’ll Make an Impact

  • Serve as the first point of contact for all internal administrative requests.
  • Manage calendars, meetings, appointments, and travel arrangements for consultants and the director.
  • Oversee email triaging, prioritising messages and flagging actions that require attention.
  • Maintain and organise company files and records, ensuring easy access and accuracy.
  • Prepare meeting agendas, take minutes, and distribute action items or follow-ups.
  • Assist in project coordination, tracking deliverables, progress, and shared timelines.
  • Support workflow management using project management tools such as Asana, ClickUp, or Monday.com.
  • Monitor project deadlines and ensure follow-ups are completed on time.
  • Assist with developing and maintaining internal processes and SOPs to streamline operations.
  • Coordinate internal communications, onboarding, and staff logistics.
  • Liaise with external vendors, partners, and clients when needed.
  • Support the Director with report preparation, correspondence, and operational initiatives.

What We’re Looking For – You’re the Perfect Fit if You:

  • Have proven experience as an Administrator, Executive Assistant, or Project Coordinator.
  • Possess strong organisation, time management, and multitasking skills.
  • Are highly proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Have hands-on experience using project management tools (Asana, Trello, ClickUp, or Monday.com).
  • Demonstrate excellent written and verbal communication in English.
  • Show meticulous attention to detail and a proactive, can-do attitude.
  • Are able to think laterally, solve problems creatively, and work independently.
  • Bring a calm, logical, and structured approach to fast-paced environments.
  • Are dependable, discreet, and professional when handling confidential information.

Work Schedule & Employment Terms

  • Full-Time | Monday to Friday
  • Remote role for Philippine-based candidates
