About the Role: We are seeking an experienced, highly organized Executive Virtual Assistant (VA) to support a busy real estate and property development business. This position plays a critical role in ensuring smooth day-to-day administrative processes, proactive calendar management, effective task delegation, and professional communication with all stakeholders. You’ll help absorb overflow work from the current VA team while bringing your own expertise to elevate operations.
Key Responsibilities
- Manage the Executive’s complex calendar: scheduling, prioritizing, and confirming appointments.
- Organize, delegate, and follow up on tasks across the VA team and vendors.
- Provide email management: monitor inbox, draft responses, summarize key communications, and ensure timely replies.
- Coordinate domestic and international travel arrangements.
- Support real estate and property development projects, including:
- Overseeing new property developments and refinancing deals.
- Coordinating engineers, architects, and other professionals to ensure timely project submissions.
- Assisting with property management duties: rentals, short-term rentals, tenant communications, and vendor coordination.
- Enter bills, reconcile accounts, maintain bank balances, and provide up-to-date reports as needed.
- Handle client billings, invoicing, and manage incoming/outgoing payments.
- Manage supplies, cleaning crews, and day-to-day operational needs.
Requirements & Qualifications
- Proven experience as an Executive Assistant, Personal Assistant, or Business Administrator (real estate/property management experience is a plus).
- Strong organizational skills with the ability to manage multiple priorities independently.
- Confident in task delegation and follow-up to ensure things get done.
- Excellent written and verbal English communication skills.
- Proficiency with Google Workspace, MS Office, and Excel.
- Comfortable managing complex calendars, travel bookings, and professional correspondence.
- Proactive problem-solver with a high level of attention to detail.
- Ability to represent the business professionally to clients, partners, and stakeholders.
- Reliable, trustworthy, and adaptable to shifting priorities in a fast-paced environment.
- Willingness to roll up your sleeves and occasionally create marketing/social media content.
