Salary: $5 – $6 per hour
🧑 ⚕️ About the Client’s Company
This is a team of Physical Medicine and Rehabilitation physicians (physiatrists) who specialize in diagnosing, treating, and managing a wide range of musculoskeletal and neurological conditions. Their multi-physician pain management practice operates across several offices and provides various procedures, including epidural injections, to help patients improve function and quality of life.
📝 About the Role / Job Responsibilities
The Medical Virtual Assistant will support the practice’s scheduling and administrative operations, ensuring accuracy and efficiency in patient coordination.
🧭 Key Responsibilities:
- Schedule patient appointments across three (3) office locations efficiently.
- Ensure appointment types align with provider expectations and service guidelines.
- Manage patient calls for scheduling, rescheduling, and cancellations.
- Maintain accuracy and completeness of patient information during scheduling.
- Verify insurance, eligibility checks and manage related documentation.
- Verify patient insurance beyond active/inactive status.
- Confirm patients are correctly registered in the system.
- Identify deductible, co-pay, co-insurance, and out-of-network amounts.
- Check whether authorization is required for each service.
- Manage provider schedules and coordinate coverage when doctors are unavailable.
📞 Patient Interaction and Communication:
- Communicate clearly and professionally with patients, ensuring understanding—especially with patients who are hard of hearing.
- Record accurate notes for each call and patient interaction.
- Maintain records using Next Gen and Open Practice Solutions.
- Support administrative tasks needed.
🎓 Qualifications
- Relevant experience in a medical or healthcare setting (required).
- Knowledge of medical terminology and experience in insurance verification & eligibility checks
- Strong attention to detail and organizational skills.
- Excellent communication skills in English with zero or minimal accent.
- Ability to communicate and maintain professionalism especially with patients
- Experience using EHR or practice management systems (Next Gen or Open Practice Solutions preferred).
- Must be able to be present in a virtual conference with the video turned on as needed

- Accuracy of appointment scheduling and insurance verification.
- Speed and efficiency in handling patient calls and data entry.
- Communication quality and ability to follow established SOPs.
- Minimal scheduling or insurance errors.
