About the Client:

Our client is a rapidly growing new business in the construction and roofing industry, dedicated to providing high-quality service to our clients. We are seeking a highly organized, tech-savvy, and detail-oriented Virtual Assistant (VA) to take ownership of our core operations and administrative functions. This is a critical full-time role designed to allow the business owner to focus on growth by delegating key daily tasks.

About the Role:

We are looking for a dedicated and proactive Virtual Assistant to be the backbone of our new roofing company’s daily operations. This is a full-time, long-term opportunity for a professional who thrives in a dynamic environment and is eager to streamline processes and suggest improvements. Prior experience in the construction or roofing industry is highly desirable.

Key Responsibilities

Lead and System Management:

  • Serve as the primary user for the LEAP application (a core business app for delegation, estimates, and invoicing).
  • Manually input new customer leads and addresses into the LEAP system.
  • Utilize LEAP to drop leads into designated “buckets” for delegation to specific salespeople or contractors.
  • Monitor and manage the official company email for incoming leads and communications.

Customer Communication & Reception:

  • Manage and operate the business phone number (initiated through CallRail), including redirecting the number as needed.
  • Handle all incoming phone calls during standard business hours (e.g., 8 AM to 5 PM, or a set schedule).

Administrative & Financial Support:

  • Log and manage invoices and potentially create estimates using the LEAP application.
  • Manage and place material orders with distributors, utilizing pricing information linked within the LEAP system.
  • Assist with the overall management of customer accounts and projects.
  • Document and help streamline and structure new processes and procedures to improve efficiency.

Qualifications & Skills

  • Experience: Proven experience as a Virtual Assistant, Operations Specialist, or Administrator, ideally within the construction, roofing, or related trade industry.
  • Tech Savvy: Must be highly proficient and comfortable with quickly learning and utilizing new software and applications, specifically business operations platforms like LEAP.
  • Attention to Detail: Exceptional organizational skills and a meticulous approach to data entry, lead tracking, and order management.
  • Communication: Fluent and clear English verbal and written communication skills with a strong understanding of American business culture.
  • Work Style: Ability to work independently, demonstrate strong initiative, and bring fresh ideas to the table for process improvement.
  • Commitment: Desire for a long-term, full-time working relationship.
