Responsibilities of the Executive Assistant:
Your responsibilities include:
๐ Calendar & Scheduling Management
- Fully own and maintain a busy executive calendar (10โ30 meetings per week)
- Coordinate meetings across internal teams, vendors, and external partners
- Prioritize strategically โ protecting blocks for deep work and leadership time
- Anticipate and resolve conflicts quickly, ensuring seamless scheduling
- Prepare meeting agendas by reviewing previous meeting notes and action items
๐ง Inbox & Communication Management
- Manage the executiveโs business inbox with a zero-inbox mindset
- Organize, label, and filter incoming emails for speed and clarity
- Draft polished, brand-aligned responses and correspondence
- Use AI tools (like ChatGPT) to summarize, draft, or automate replies where appropriate
- Flag urgent items, follow-ups, and pending decisions for quick action
- Maintain clear communication between the founder and internal/external stakeholders
๐ Meeting Notes, Action Items & Follow-Up
- Attend key meetings or review AI-transcribed notes to identify next steps
- Capture and summarize action items in an organized, trackable format
- Assign and follow up on deliverables to ensure completion across the team
- Send meeting recaps, follow-up emails, and thank-you notes as needed
- Prepare pre-meeting summaries so the founder arrives informed and ready
๐ Project & Workflow Organization
- Build and maintain project boards in Asana to manage ongoing deliverables
- Log new ideas, voice notes, and concepts into organized systems for future execution
- Track progress on internal and external projectsโensuring deadlines are met
- Help implement structure around creative ideas, launches, and marketing timelines
๐งด Product Launch & Marketing Support
- Assist in planning and tracking timelines for annual product launches
- Coordinate with vendors on sample timelines, product pricing, and launch logistics
- Support creation of marketing collateral and product descriptions
- Conduct light market research to inform new campaigns or products
- Keep all launch materials and deliverables organized and accessible.
๐งณ Travel & Logistics Coordination
- Arrange travel using the companyโs Expedia account and maintain itineraries
- Research destinations, meeting venues, and restaurants when needed
- Coordinate logistics for events, vendor meetings, or trade shows
- Ensure smooth travel experiences with detailed planning and proactive support
๐ฆ Ad Hoc & Special Projects
- Support ongoing brand initiatives, such as the TikTok Shop seeding project
- Take initiative on one-off research, reports, or system improvements.
- Offer proactive ideas to improve workflows and team efficiency
