The Role

Tapi is looking for a full-time remote Executive Assistant to support our CEO and Co-Founder. You’ll be the trusted partner behind the scenes who keeps things moving, making sure calendars run smoothly, priorities stay on track, and nothing important slips through the cracks.

From coordinating schedules and travel to managing communications with customers, partners, and the wider team, you’ll make sure the CEO’s time is focused on what matters most: growing the business. You’ll also prepare reports, polish up documents, organise events, and help drive the overall rhythm of the company.

This is a high-impact role where your organisational skills, judgement, and ability to build great relationships will make a real difference every day.

Responsibilities

  • Calendar management for the CEO, scheduling, prep, and ensuring priorities are front and centre.
  • Manage inboxes and communications, drafting responses, keeping things tidy, and following up where needed.
  • Draft and refine slides, reports, and documents for leadership and board-level discussions.
  • Summarise AI meeting notes, actions and share them with customers and internal teams.
  • Call and connect with customers, partners, and stakeholders to arrange meetings.
  • Organise meetings – everything from internal meetings, board meetings, external partner or investor meetings.
  • Book travel and coordinate logistics like a pro.
  • Collect, collate, and polish up performance data into reports that cut through the noise.
  • Oversee contract management, filling out, filing, and processing.
  • Help with social media calendar management and timely reminders.
  • Keep documents and knowledge organised so information is always easy to find.

Qualifications

  • Bachelor’s degree or equivalent experience.
  • Detail-obsessed with excellent written and verbal communication.
  • Excellent conversation skills, warm personality, and the ability to build instant rapport with customers and stakeholders.
  • Proficient in Google Suite, Docs, Sheets, and Slides.
  • Experience managing multiple priorities, coordinating logistics, and staying one step ahead.
  • CRM experience is a plus.
  • Adaptable, resourceful, and thrives in fast-paced, dynamic environments.
  • Experience in SaaS is a bonus, but not essential.

  • Type: Contractor
  • Hours: 6am – 2:30pm PHT, Monday – Friday
