ROLE: Executive Assistant (supporting multiple executives experience as an EA is required)

JOB DESCRIPTION:

  • Manage busy calendars across multiple time zones using Google Calendar
  • Schedule and confirm internal/external meetings, interviews, and recurring syncs
  • Prepare agendas and take notes as needed
  • Monitor and organize Gmail inboxes for 4–6 executives
  • Flag high-priority emails and draft responses when needed
  • Track follow-ups and maintain inbox clarity
  • Coordinate domestic and international travel (flights, hotels, ground transport)
  • Prepare detailed itineraries for executives
  • Arrange lunch meetings, team events, and other logistical needs
  • Assist in light project management and task tracking
  • Manage document filing systems via Google Drive or Notion
  • Coordinate with internal teams via Slack and email
  • Follow up with vendors, clients, or team members as needed

HARD REQUIREMENTS:

  • Minimum 2 years of executive-level support experience
  • Experience supporting multiple executives or founders simultaneously
  • Strong organizational skills and high attention to detail
  • Proficient in Gmail, Google Calendar, Google Docs, and Slack
  • Comfortable working independently and maintaining confidentiality
  • Excellent written and verbal English communication skills
  • Familiarity with Notion, Zoom, or basic project management tools
  • Experience in a tech startup or SaaS environment is a plus

HOURS/WEEK:

  • 40 hours per week

SCHEDULE:

  • Monday to Friday
  • 9AM – 6PM Pacific Standard Time Zone

OFFER:

  • $5 USD/hour – $6 USD/hour
