Job Role: Bookkeeping/Admin

Compensation range: $1,800 AUD – $2,400 AUD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM – 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Who We Are: At Hunt St, we help Australian companies hire top remote talent in the Philippines. For this role, you will be engaged directly by the client as an independent contractor. We are not an outsourcing agency. All of our roles are 100% remote so you’ll be able to work from home.

Who The Client Is: An independent, Australian-owned family business based in Brisbane, specialising in assistive and mobility products for aged care and disability clients. We provide private showroom visits and in-home demonstrations, partnering with reputable manufacturers to deliver quality solutions tailored to client needs.

Role Overview: We are looking for a detail-oriented Bookkeeper/Admin to support our General Manager and Managing Director by managing back-office operations and ensuring smooth coordination between finance, operations, and client communications. This role is ideal for someone who thrives on accuracy, process improvement, and follow-through, helping free up leadership for more client-facing work.

Key Responsibilities:

  • Purchase Order:
  • Reconcile supplier invoices against purchase orders with accuracy and attention to detail.
  • Identify and resolve discrepancies in coordination with suppliers and the internal team.
  • NDIS Quote Follow-ups:
  • Send professional outreach emails to occupational therapists to follow up on pending NDIS quotes (6- to 9-month approval windows).
  • Track and update the status of each quote to maintain clear visibility over all active cases.
  • Weekly Progress Reporting:
  • Prepare weekly reports on NDIS approval statuses, equipment deliveries, and overall workflow updates.
  • Provide insights or red flags on delayed approvals or outstanding items.
  • Bookkeeping and Financial Management:
  • Bookkeeping for the business, ensuring transactions are reconciled daily and following up for receipts.
  • Reconciling supplier invoices to statements and ensuring accounts payable is up to date.
  • Providing reports to the GM on what needs to be paid monthly, weekly, or as required.

Required Skills and Qualifications:

  • A minimum of 2 years’ experience in bookkeeping and administrative support, demonstrating strong expertise in Australian business practices and accounting standards.
  • Proven understanding of Australian bookkeeping standards, including GST, BAS preparation support, and invoice and purchase order reconciliation.
  • Demonstrated experience in accounts payable, supplier management, and financial record-keeping.
  • Strong attention to detail and accuracy in handling financial and operational data.
  • Excellent written and verbal communication skills suited for professional correspondence with suppliers, clients, and occupational therapists.
  • Familiarity with NDIS processes and experience within the aged care or disability services sector is highly regarded.
  • Proficiency in Microsoft Excel and Australian accounting systems such as Xero, MYOB, or QuickBooks Online.
  • Proficiency with the software Cin7
  • Highly organised with the ability to manage multiple priorities and deadlines effectively.
  • Proactive and resourceful, with strong problem-solving skills and initiative to improve processes.
  • Reliable and self-motivated, able to work independently with minimal supervision.
  • Committed to accuracy, compliance, and continuous improvement in all tasks.
  • Professional and collaborative, demonstrating integrity and discretion in all client and financial dealings.
