About the Role

We are seeking a highly organized and personable Scheduler to support our outreach and appointment-setting efforts with government agencies. In this role, you will be responsible for initiating and maintaining contact with decision-makers, managing calendars, navigating gatekeepers, and ensuring that meetings are efficiently scheduled with the right individuals. You must possess excellent English communication skills, an American or neutral accent, and the ability to build rapport quickly. Your success will be measured by your conversion rates, attention to detail, and ability to identify and connect with decision-makers in various agencies consistently.


Key Responsibilities

  • Make outbound calls to government agencies to schedule meetings and appointments.
  • Navigate gatekeepers and establish contact with the relevant decision-makers or key points of contact.
  • Use sound judgment and common sense to understand organizational hierarchies and booking protocols.
  • Coordinate calendars and confirm appointments, ensuring accurate follow-ups.
  • Maintain clear and professional communication across all touchpoints.
  • Maintain detailed and accurate logs of outreach, follow-ups, and scheduled appointments.
  • Work closely with internal teams to understand scheduling priorities and agency targets.
  • Continually optimize scheduling techniques to improve conversion rates.

Must-Have Qualifications

  • Excellent English verbal skills, with clear diction and a strong preference for an American or neutral accent.
  • Outstanding personality: Warm, professional, approachable, and confident.
  • Highly organized, reliable, and detail-oriented.
  • Proven ability to get through gatekeepers and connect with decision-makers.
  • Strong common sense and strategic thinking when navigating agency structures.
  • Demonstrated history of high conversion rates and appointment success.
  • Tech-savvy: Comfortable using scheduling tools, CRM platforms, VoIP, and spreadsheets.
  • Familiarity with dealing with people from government institutions
  • Stable work environment with:
  • Reliable high-speed internet
  • Backup power supply (generator, power station, or similar)
  • Able to work US hours and respond quickly to scheduling changes or requests.


Nice-to-Have

  • Previous experience working with or scheduling for government agencies.
  • Familiarity with tools like Calendly, Google Calendar, HubSpot, Zoho CRM, or similar.
  • Background in customer service, appointment setting, or executive assistant roles.
