As an Admin Associate, you’ll ensure the smooth daily running of case operations, dentist communication, and internal coordination across our teams. You’ll be the first line of support for messages, emails, uploading files on a case, ensuring every case is handled with care, accuracy, and speed.

You’ll collaborate closely with clinical support, logistics, and sales to make sure every dentist receives a seamless experience. This role is ideal for someone who thrives in a detail-oriented, fast-moving environment and enjoys keeping complex processes running smoothly behind the scenes.

What you’ll be doing:

Daily Case & Communication Management

  • Monitor and respond to dentist and internal messages, delivering high-quality and consistently excellent output within our tight SLAs.
  • Track open cases, follow up on pending confirmations, and escalate where necessary to ensure timely resolution.
  • Support communication flow between admin, clinical, logistics, and sales teams to maintain consistent updates.

Case Processing

  • Review incoming case data to ensure completeness (for example, retrieving, assigning and uploading scans to a case), before assignment to technicians or orthodontists.
  • Help ensure that case reviews, approvals, and related emails are processed and cleared daily.

Operational Coordination

  • Liaise with logistics and operations teams for dispatch, tracking, and delivery-related tasks.
  • Keep internal systems and databases updated and accurate.
  • Collaborate cross-functionally to flag workflow issues or opportunities for process improvement.
  • Effectively co-ordinate between a large number of stakeholders: dentists, specialists, designers, technicians and internal ops teams.

Reporting

  • Ensure smooth coordination and communication between shifts to maintain seamless daily operations.
  • Maintain accurate records and updates across admin tools and shared trackers.
  • Communicate clearly with teammates and relevant departments to ensure all actions are completed or appropriately escalated.
  • Identify and share recurring issues, gaps, or trends that could improve efficiency and service quality.

  • You’re comfortable using digital tools (Slack, Airtable, Notion, Metabase or similar systems) to manage workflows and information.
  • You work well in a team-oriented environment, supporting others and stepping in when needed.
