About the role: We’re seeking an Admin Assistant to become the operational clone of the CEO! You’ll shadow every aspect of his work as a founder, attend all his calls, and gradually take ownership of his entire daily operations.

This isn’t your typical administrative role – you’ll learn to think and act like a founder while handling critical business operations. Your responsibilities will include:

  • Handle Busy Work: take over any and all busy work from the CEO
  • Update and Maintain SOPs: Keep our standard operating procedures current and ensure team compliance
  • Quality Control: Monitor team members’ work and ensure standards are consistently met across all departments.
  • IT Systems Administration: Manage and administer various IT systems and platforms we use daily
  • Administrative Excellence: Handle forms, documentation, and other administrative tasks with precision.

The ultimate goal: become so synchronized with my operations that you can seamlessly take over my day-to-day responsibilities!

Requirements:

About you: Parcel Tracker is a small company with a high density of heavy hitters; it takes a particular type of person to fit in.

  • You’re laser-focused with an insane attention to detail. Nothing slips your attention!
  • You borderline have OCD, you like things nicely organised, and follow SOPs extremely well.
  • You’re extremely reliable and can execute independently without oversight.
  • You can work independently on the day-to-day and be internally driven. But when the time comes, you’re a great team player.
  • You’re a high performer; you’ll be expected to execute as if you were in the Special Forces.
  • You’re fully autonomous – you identify problems, create solutions, and execute without needing hand-holding or constant direction.

Key Experience, Skills, and Knowledge:

  • Technical Mindset: Strong technical aptitude with the ability to implement automations, workflows, and process improvements using various tools and platforms.
  • Software Mastery: Comfortable learning and mastering a huge range of software tools – from CRMs and project management to specialized business applications.
  • Systems Administration: Experience managing user access, permissions, and administrative functions across multiple software platforms.
  • Automation Implementation: Can identify repetitive tasks and implement automation solutions using tools like Zapier, APIs, or custom scripts.
  • Process Excellence: Obsessed with creating, updating, and following standard operating procedures to maintain consistency.
  • Quality Assurance Mindset: Natural ability to spot inconsistencies, errors, and areas for improvement in others’ work.
  • Compliance Knowledge: Understanding of or willingness to learn ISO 27001 and information security standards.
  • Executive Presence: Can represent leadership in meetings and communications with professionalism and authority.
  • Self-Directed Problem Solving: Thrives when given high-level objectives and figures out the “how” independently.
  • Attention to Detail: You can spot a missing comma, a misaligned pixel, or a slight mistake in documentation at a glance. Nothing gets past you.
